Flow Lab operates a strict 9-hour cancellation policy for all Pilates Studio and Recovery bookings.
Cancellations made within 9 hours of the scheduled class or appointment time will result in the loss of the applicable pass for both Studio and Recovery sessions.
For Studio bookings on weekly memberships and discounted packs (including Intro Offers), the following fees apply:
$10 Late Cancellation Fee
$15 No Show Fee
Clients holding full-price class packs will forfeit the pass only, with no additional fee.
Please refer to the detailed policy below for further information.All cancellation fees are applied automatically and charged 24 hours after the class has finished.
The 9-hour window ensures that other clients have adequate time to arrange attendance and utilise the available booking slot.
Cancellations cannot be processed via phone, text, or email. All changes must be made through the Flow Lab / Momence app or via your online account.
If you wish to discuss a cancellation after the charge has been applied, please message us through the app and we will assist you from there. -
Studio Classes
Classes begin promptly at their scheduled start time to ensure a smooth and uninterrupted experience for all participants. Once class commences, the studio doors are locked. Late entry is not permitted under any circumstances.Recovery Appointments
Recovery appointments commence at the same time as studio classes. Please arrive at least 5 minutes prior to your appointment so our team can guide you to your room.
If you arrive late and the studio doors are locked, you will be unable to access your appointment and the session will be forfeited. -
Our memberships are billed weekly, and have a 4 week minimum term. More information can be found on the purchase page subject to your particular membership.

Phone, Do Not Disturb & Silent Zone
Mobile phones are permitted in the studio; however, they must not be used during class.
Please ensure your phone is switched to silent and stored with your belongings before the class begins.
If you require access to your phone for urgent reasons, please inform your instructor prior to the start of class.
Apple Watches and other wearable devices must also be set to silent or Do Not Disturb.Socks in the Reformer Studio
Grip socks are preferred for both hygiene and safety, although they are not mandatory.
Grip socks are available for purchase at reception.Hot Room Requirements
A large towel is required for all Hot Mat classes.
If you do not have a towel, hire is available for $4.Classroom Conduct
Once the instructor enters the room and the class begins, the studio becomes a quiet and focused environment.
Please refrain from talking during class to maintain an optimal experience for all participants.
Conversations and social interactions may resume once the class has concluded. -
Arrive 5-10 minutes early, and exit 50 minutes after your appointment time commences. We ask that noise levels are kept to a minimum, as this space is used as a sanctuary to some to find some stillness in their day. We run appointments back to back, your assistance is appreciated by leaving the room the way you found it - clean, dry, and usable for the next booking.

For safety reasons, Flow Lab requires all pregnant clients to notify us before attending any class.
Flow Lab does not accept new clients who are over 16 weeks pregnant.
Current members who fall pregnant are welcome to continue attending through to full term, provided they have notified us and their chosen classes remain safe and appropriate. We may request medical clearance and participation is always at the discretion of the instructor.
Your safety is our priority, and early communication allows us to best support you.

Flow Lab is a no replacement-exercise studio.
We offer small, safe modifications only, and do not provide alternative programs or personalised rehabilitation sequences.If you are currently injured, recovering from surgery, or managing ongoing pain, it is essential that you advise us before attending class. Our instructors will offer light modifications where appropriate, however clients must take responsibility for adjusting or opting out of movements that do not feel safe.
Flow Lab instructors reserve the right to decline participation if your injury requires specialised programming beyond what can be safely offered in a group setting.
Your safety comes first — please ensure you are cleared by a health professional before returning to movement.

TERMS & CONDITIONS
Flow Lab Pilates and Recovery Pty Ltd
1. General Terms
Flow Lab Pilates and Recovery Pty Ltd (“Flow Lab”) will make every effort to deliver classes and services on time and as advertised. However, there may be times when a scheduled class cannot be delivered.
Classes are provided either at Flow Lab’s Moonee Ponds premises or online.
Late entry is not permitted for any class, whether in-studio or online. Please arrive 5–10 minutes before your class start time.
Flow Lab is not responsible for refunding, transferring, or compensating clients for classes that are late, changed, or cancelled for any reason, or if you are unable to attend due to the class being full.
Flow Lab provides areas for storing personal belongings, however we do not accept responsibility for the loss or safekeeping of personal items.
All purchases are final. Flow Lab does not offer refunds for change of mind, injury, illness, change of address, or any other reason.
All passes, memberships, and offers are non-transferable and cannot be shared.
2. Age Requirements
Clients under 18 years of age must attend their first class with a parent or guardian.
After the first class, they may attend alone.Minimum age to participate in studio classes is 14 years old, and a 1:1 assessment with a Flow Lab instructor is required before attending group classes. Please contact us to arrange this session.
3. Online Classes & Internet Requirements
Flow Lab is not responsible for refunding or compensating clients unable to join online classes due to technical issues, including poor internet connection.
It is the client’s responsibility to ensure their internet connection is sufficient to stream the class.4. Class Booking & Cancellation Policy (Pilates Studio)
Cancellations must be made through the online booking system at least 9 hours before the class start time.
Flow Lab does not accept cancellations via phone, email, or any other method.Late Cancel: Cancelling within 9 hours
No Show: Failing to attend a booked class (including from the waitlist)
Fees:
$10 late cancellation fee

Clients on casual passes or class packs will lose one class for each Late Cancel or No Show.
Cancellation fees are automatically charged 24 hours after class. Clients must contact Flow Lab prior to this time to discuss any concerns.
By booking online, you agree to the late cancellation and no show policy.
5. Recovery Studio Appointment Cancellation Policy
The same 9-hour cancellation rule applies to all Recovery Studio appointments.
$10 late cancellation fee
$15 no show fee
(applies to memberships and Intro Offers)
Clients using casual or multi-session passes will lose one session for each Late Cancel or No Show.
6. Introductory Offers
Introductory Offers can be purchased once per client. Introductory offers are not available for clients who are not new to the business (ie. Casual attendance or ClassPass)
The offer term begins on the date of purchase.
No refunds, transfers, suspensions, or extensions are provided for unused portions due to illness, injury, change of address, or any other reason.7. Class Packs
Class Packs expire as stated on our website.
Expiration is based on date of first booking, not date of purchase.No refunds, transfers, suspensions, or extensions are available on unused portions for any reason.
8. Weekly Direct Debit Memberships
Unless otherwise specified, there is a 4 week minimum term on weekly memberships.
Cancellation:
Flow Lab requires 14 days’ written notice via email (hello@flowlabco.com.au).Suspension:
Memberships may be suspended for a minimum of 1 week (7 days) and a maximum of 6 weeks via message through the Flow Lab App.Payments:
Weekly fees are processed via Momence, BECS Direct Debit, or Stripe.
It is the client’s responsibility to ensure sufficient funds are available.
If a payment fails, your bank or Stripe may charge additional fees.Flow Lab may reprocess failed payments at any time after funds become available.
9. Virtual Classes (Zoom Access)
Virtual classes are delivered live via Zoom.
Clients are responsible for providing their own equipment and accessing the class link.If a client is late or misses the class, the session will not be refunded, rescheduled, or credited.
Participants are responsible for their own safety. Flow Lab is not liable for injuries or damages occurring during virtual sessions.
Flow Lab instructors reserve the right to deny participation if a client is deemed unsafe or unprepared for the class environment.
No show fees do not apply to virtual classes.
10. Photography, Video & Content Use
Flow Lab staff may film or photograph in and around the studio for operational or promotional purposes.
If you do not wish to appear in content, please notify staff prior to class.Virtual classes may occasionally show in-studio participants. If you prefer not to appear, Flow Lab may reposition your mat in the room.
Clients may take photos or videos in studio but must be respectful of others’ privacy.
11. Waiver & Release
By participating in any session at Flow Lab, you acknowledge and accept the risks associated with physical activity.
You agree that neither you nor your heirs, assigns, or legal representatives will file claims against Flow Lab, its instructors, staff, or management for personal injury, property damage/loss, or death, whether caused by negligence or otherwise.
Flow Lab is not responsible for the safekeeping of personal belongings.

Please read the following terms carefully. By participating in any class or appointment provided by Flow Lab Pilates and Recovery Pty Ltd’s instructors you consent to, and agree to release Flow Lab Pilates and Recovery Pty Ltd / the Instructor from liability according to, these terms. Unless the Instructor notifies you otherwise, this waiver and release will apply to all classes or appointments undertaken by you.

respiratory or cardiac conditions, high or low blood pressure, or any other relevant medical condition
Your Responsibility During Class
You will inform the Instructor immediately if you experience pain, discomfort, dizziness, or difficulty during class, and you will stop participating if directed by the Instructor.Online / Pre-Recorded Classes
If undertaking pre-recorded or online classes, you will stop immediately if you experience pain or discomfort and seek medical advice.Instructor Discretion
Based on the information you provide, the Instructor may decline your participation or request a medical clearance prior to allowing you to attend.Not Personalised Advice
You understand that recommendations and instruction provided by the Instructor may not be tailored to your individual needs or abilities. It is your responsibility to modify or opt out of movements that feel unsafe or unsuitable.Environment Safety (Online Use)
You are solely responsible for ensuring your physical environment is safe and appropriate for participation in any online class.Recording & Promotion
Classes may be recorded by Flow Lab or the Instructor for quality and promotional purposes. If you do not consent to the use of video or still images of you for promotional purposes, you must notify Flow Lab or the Instructor in writing prior to the class.
RELEASE OF LIABILITY
To the fullest extent permitted by law, you release and hold Flow Lab Pilates and Recovery Pty Ltd, its instructors, directors, employees, and representatives harmless from any liability, cost, expense, damages, or claims (including negligence) arising from, or in connection with, your participation in any class or appointment.
By signing this waiver, you confirm that you have read, understood, and agree to its contents.

The type of information we collect is based on the information you give us including but not limited to your name, address, date of birth, email address and phone number or credit card information (Personal Details). Any credit card information is not retained or stored on our site. This is only captured and used to process any payment you make when purchasing or subscribing to our product and services. In addition, we may also collect and store data relating to your image (if you have attended our class either online or at a studio) your fitness interest and preferences which is captured from comments you make on any of our social media platforms.
We respect the privacy of our online visitors. We may collect information on or through this website that can personally identify you. For example, we collect personally identifiable information which you volunteer to us to respond to visitor questions and comments about us and our products and services, and to mail e-newsletters.
We may also collect additional information at other times, including but not limited to, when you provide feedback, change your content or email preferences, respond to a survey, or communicate with our customer support.
Information about you may also be provided to us from other sources that is we may receive information from organisations we work closely with (third parties) e.g. business partners, authorised distributors, health and fitness clubs or other organisations that we work with to promote our brand, products and services.We are also obliged to advise that should you connect with our business via social media platforms, or features of our website which in turn connect to your own online profiles or social media accounts, we may collect any information which you have permitted to be shared or made available via the settings of those individual social media accounts, e.g. if you access or like us on Facebook, we will in turn have access to your profile and data of your Facebook page. Use of Information
We may use personal details collected from you to the extent permitted by the applicable law for the purpose of providing you with direct marketing material, updates regarding our website and information in the form of a newsletter. This will only apply if you have registered or subscribed to receive our products and services about our classes whether by registering your details to attend at a studio or via an online class with us. We will also use your personal details to correspond with you as to changes in our services and to inform you of account and policy changes which may happen from time to time. However if you wish to cease receiving any such information you may let us know either by email or unsubscribing at any time and your request will be actioned immediately.
Individual profile and company details are not used for any other purpose. Your Personal Details are only supplied to a third party supplier when it is required by law, for goods or services which you have purchased or to protect our copyright, trademarks and other legal rights.We may use your personal details to allow you to participate in interactive features of our business, including data analysis, research and testing, statistical, editorial feedback and survey purposes. Of course you may opt out at any time.

Retention of Personal Details
Any information and Personal Details which we collect is retained only if we need it to support and operate our business or when (permitted by law) we have a purpose for using the information that requires us to retain same.
Subject to applicable legislative requirements, if you cease to be a subscriber or customer of our business we will only hold your personal information for a period of 18 months following the cancellation of your subscription/account. When we no longer require Personal details we or any of the third party suppliers we use, will be required to delete the personal details.

We will at all times maintain physical, technical and administrative safeguards in order to protect the personal details you provide to our staff, via our website or social media platforms. Our security technology is regularly tested and updated and we will restrict access to your personal details to those employees of our business who need to know that information in order to provide benefits, information or our services to you. We will train our employees to observe and understand the importance of confidentiality and maintaining confidentiality to maintain the privacy and security of your personal details. We are committed to taking disciplinary action in or to enforce the responsibilities and obligations surrounding the privacy of your personal details.
Change of Details or Opt-Out
You may change your Personal Details at any time by advising us in writing via email. All information we receive from our customers is protected by our secure server. flowlabco.com.au secure server software encrypts all customer information before it is sent to us. Furthermore, all customer data collected is secured against unauthorized use or access. Credit card information is not stored by us on our servers.
You may at any time choose to opt-out and seek that we delete your personal details via email request to hello@flowlabco.com.au or by responding STOP. Any customer who opts-out we will update our records accordingly to ensure that their personal details are removed from our systems particularly in relation to marketing and promotional materials and newsletters.
Changes to this Policy
Subject to the applicable legislation we may update and change this Privacy Policy at any time. We will tell you and alert you to any changes and ensure a copy of the updated policy is made available either online or via post to you. Any modifications or changes we make will be effective immediately unless otherwise stated in this policy. If required by the applicable laws, we will seek your consent for such changes and also provide to you an opportunity to withdraw and cancel your subscription or membership with our business.
